All travelers must agree to follow the “Terms & Conditions” before booking any trip with Women Adventures. Women Adventures is a Nepal-based adventure travel company, fully licensed and registered under the Government of Nepal. We specialize in empowering, safe, and mindful travel experiences for women.
Guest Agreement & Declaration
Trekking, walking, and traveling in remote regions of Nepal and other Himalayan areas involve an inherent risk due to unpredictable weather, terrain, and limited access to immediate medical assistance. Injuries, delays, or life-threatening incidents may occur and are beyond our control. We always do our best to minimize such risks and ensure safe travel experiences. However, by booking a trip with Women Adventures, you agree to accept these risks as a part of your journey.
Trip Booking Terms & Conditions
The term “trip” refers to all itineraries described on our website, including walking tours, treks, retreats, expeditions, wellness journeys, cultural immersions, or holidays.
- A non-refundable 20% deposit per person is required to confirm your booking. Payments can be made via bank transfer or Credit Card (Visa/MasterCard).
- The final balance is due at least 2 days prior to your scheduled departure in Kathmandu. If not received in time, your booking may be canceled under the cancellation terms.
- Final trip documentation will be provided only after full payment is received.
- Payments via credit card are subject to a 3.5% surcharge, imposed by the payment service provider.
Cancellation Policy
Cancellation must be submitted in writing. The date of cancellation will be considered the date we receive the written notice.
Refund structure as follows:
- 60 days or more prior to departure – Loss of deposit
- Less than 7 days before departure – Loss of total payment
- No refunds will be provided for early departures, missed services, or voluntary withdrawal after the trip has commenced.
- Refunds for involuntary withdrawal (e.g., health issues) may be considered at the discretion of Women Adventures.
- Unused services, including accommodation, meals, transportation, or activities, are non-refundable.
Trip Cancellation by Women Adventures
A trip is guaranteed to run once two travelers have confirmed with full payment (unless stated otherwise).
We reserve the right to cancel any trip before it is guaranteed or due to unforeseen circumstances (natural disaster, political unrest, etc.).
In such cases:
- You will receive a full refund, or
- You may choose an alternative trip of equal value without charge.
Women Adventures is not liable for costs beyond the trip price, including airfare, visas, or personal expenses.
Amendments to Booking
- 60 days or more before trip departure: US$100 per person amendment fee
- Less than 60 days before departure: Charges as per cancellation policy
- If the new trip price is higher than the original, the revised price will apply.
- Any changes to additional arrangements (hotels, transfers, extensions) will incur a US$20 administration fee per change.
- Changes made within 10 days of departure may not be possible and are subject to a minimum US$100 fee if applicable.
Travel Insurance
It is mandatory to have valid travel insurance that includes:
- Medical coverage
- Emergency evacuation (including helicopter rescue)
- Proof of insurance must be presented before the trip begins.
- Travelers without insurance will be asked to purchase a policy or will be excluded from the trip without refund.
- We recommend arranging insurance from your home country. Insurance services in Kathmandu are not advised.
Passport and Visa
- A valid passport (at least 6 months beyond the return date) is required.
- Obtaining the correct visas and documents for Nepal and any other country visited is the traveler’s responsibility.
- Women Adventures is not responsible for denial of entry due to incorrect visa documentation.
Adventure Travel Notice
By booking a trip with Women Adventures, you understand that:
- This is an adventure trip, not a conventional holiday.
- Facilities (transport, hygiene, infrastructure) may differ from what you’re used to.
- You accept the risks and unpredictability associated with remote travel.
- Political instability, accidents, weather changes, or medical emergencies may occur.
- Flexibility is required due to the nature of such trips.
Authority and Group Conduct
- All participants must respect the trip leader’s authority at all times.
- Group travel requires compromise to accommodate varied interests and abilities.
- Women Adventures reserves the right to decline or remove any traveler from the group if their behavior affects group safety or harmony.
Third-Party Partners
- Women Adventures works with trusted and licensed local partners, including guides, accommodation providers, and transport companies.
- While we ensure due diligence, we are not liable for service issues or accidents arising from third-party conduct.
Legal Responsibility
Women Adventures is not responsible for:
- Any law or regulation violations committed by travelers
- Delays, injuries, or losses caused by third parties or natural events
- Changes to itineraries beyond our control
This agreement is governed by the laws of the Government of Nepal.
Trip Inclusions & Exclusions
Each trip will clearly outline inclusions on the Trip Details or Itinerary Page.
Unless specified, trip prices do not include:
- International airfare and taxes
- Travel Insurance
- Visa and vaccination costs
- Personal expenses (laundry, shopping, snacks, etc.)
- Emergency evacuation and search
- Tips and gratuities
- Meals and activities not listed in the itinerary
Airport pickups are generally included. Your pre-departure briefing will be held at the Women Adventures office or designated hotel in Kathmandu.
